General terms and conditions/complaints
1. Introduction
Every applicant for courses agrees to these General Terms and Conditions. Upon successful registration, these terms are also confirmed via email.
2. Definitions

Client – an individual or legal entity using the services of THL Language School.

Instructor – a person providing language lessons.

Registration – via contact form, registration form, email, telephone, or recommendation.

Lesson – a teaching unit lasting 45 minutes.

Internal Guidelines – work processes, instructions, and directions for conducting lessons effectively.

Teaching Materials – book or digital material used during the lesson.

Travel Costs – reimbursement for kilometers if the instructor travels to the client.

Invoice – a document detailing the hours taught and total cost, including any travel costs and materials.
3. Course Offerings

Individual Courses for the Public (1:1, online or in-person)

Group Courses for the Public (general or specialized, online or in-person, minimum 5 participants)

Corporate Courses (individual or group, online or in-person at the client's premises)

Language Courses for Primary/Secondary Schools (group courses conducted at school facilities by THL Language School)
4. Registration and Initial Consultation
Clients can register via the registration form on the THL Language School website.
After receiving the registration, THL Language School will contact the client by phone to arrange details and course placement. If necessary, a language test may be sent to determine the client's language level.
All data is recorded in a checklist, to which the client has access upon request.
5. Course Implementation
Instructors provide lessons according to the client's needs and THL internal guidelines.
Each lesson uses up-to-date teaching materials, which are provided by email (for online lessons) or physically (for in-person lessons).
6. Prices and Payments

Individual course: 10 hours = €250 (€25/hour) (minimum purchase), Dutch €350/person

Group course: 5-week course = €95/person, Dutch €150/person

Travel costs are charged based on actual kilometers traveled

One-time administrative fee: €13.50

Invoices are sent monthly between the 30th of the month and the 5th of the following month.

Payment is due within 15 days of the invoice date to THL Language School's bank account.
7. Cancellation and Non-Attendance

Lessons can be canceled 24 hours in advance without charge (only individual lessons).

Later cancellations are charged in full.

In case of non-attendance, THL will attempt to contact the client during the first 15 minutes of the lesson. If no response is received, the lesson is considered completed and charged in full.

Group lessons cannot be canceled, rescheduled, or replaced (except corporate courses under higher cancellation terms). Group courses may only be rescheduled in the event of a public holiday or company closure.

Clients may withdraw from registration within 14 days without giving a reason.

After 14 days, standard cancellation terms apply.

Payments cannot be refunded after 14 days from the start of the course.
8. Force Majeure
In the event of force majeure (pandemic, natural disaster, war, technical failures, or THL bankruptcy), both parties may terminate the cooperation immediately and without charge.
If an instructor is unavailable (vacation, illness), THL Language School may reschedule lessons, provided the client is informed at least 24 hours in advance.
9. Data Protection and Confidentiality
THL and the client are obliged to maintain confidentiality regarding all confidential information (including teaching materials, methodologies, and personal data of other clients).
The confidentiality obligation continues after the course ends.
By registering and accepting the terms, the client consents to THL Language School processing personal data for marketing and internal purposes.
10. Liability
THL Language School is not responsible for damage to the client's property, health, or loss of personal items during activities.
11. Complaint Resolution
Complaints may be submitted in writing or by email to:

Complaints are handled confidentially: confirmation within 5 business days, response within 14 days, resolution within 4 weeks.
If the complaint cannot be resolved internally, an independent third party (mediator, lawyer) may be involved.
Records of complaints are kept for a minimum of 2 years.
